Tier 1
Most clients start here

Workflow Diagnostic

$2,500 – $5,000

Understand how your business actually operates, identify owner-bottleneck patterns, and recommend the single highest-value workflow to automate first.

What you receive

  • Current-state process map — how work really flows, including handoffs, delays and owner-dependent steps
  • Owner time-dependency analysis — which tasks truly need you, and which only do by habit
  • Prioritized automation opportunity register, scored by time recovered, complexity, risk and readiness
  • A recommended first workflow, with rationale and a plain-language description
  • Baseline measurements for that workflow
  • Risk and compliance notes for regulated professions
  • Written report plus a 60–90 minute walkthrough session

A standalone deliverable. There is no obligation to proceed with us — the report is yours to use or share with any provider.

Tier 2

Build & Launch

$5,000 – $15,000

per workflow · 4–8 weeks

Design, build, test and launch the recommended workflow under supervised conditions.

What you receive

  • Detailed design document — triggers, logic, approval checkpoints, exceptions and data flows
  • Workflow built and connected to the tools you already use
  • Shadow-mode testing alongside your manual process, compared against baseline
  • Supervised launch: daily check-ins in week 1, twice weekly in weeks 2–4
  • Plain-language handover documentation, including how to pause or disable
  • Post-launch measurement report showing actual — not projected — results

Platform licensing (if any) is separate, transparent and paid directly by you to the provider. We never mark it up.

Tier 3

Advisory Retainer

$500 – $2,000

per month · 3-month minimum

Keep automated workflows healthy, monitor performance, and systematically plan the next highest-value workflow.

What you receive

  • Monthly workflow health monitoring for errors and performance drift
  • Monthly performance reporting against baseline
  • Quarterly expansion planning using your opportunity register
  • Priority support with defined response times for workflow issues
  • Returning-client rates for additional Build & Launch engagements

The expansion decision is always yours. The retainer provides value through monitoring and advice even if no new workflows are added.

What the diagnostic produces

A written record. Not a deck of suggestions.

Your report includes a current-state process map, measured baselines, a scored opportunity register, a recommended first workflow with its triggers, approvals and exception paths, and an implementation roadmap. Explore a sample.

Risk controls

Designed with the same care as any professional process.

A missed limitation period, a misdirected financial record or mishandled health information carries consequences well beyond lost time. These controls are built into every workflow we design.

Human approval gates

Workflows pause before client communications go out, money moves, documents are filed, data leaves the firm or deadlines are set. Time limits trigger escalation — never automatic approval.

Fail-safe logic

If a system is down, the workflow pauses and alerts. If data is missing, it routes to a person. It never guesses, skips steps or uses stale data.

Complete audit trails

Every action, approval, input, output, error and configuration change is logged with timestamps and approver identity.

Data handling & privacy

Data stays in systems you control, is never used for training, and is kept in Canada by default. Designed with PIPEDA and PHIPA in mind.

Reversibility

You can pause or disable any automation without us. The manual process is documented and kept as a fallback.
